Reports Menu Option

 

Step 1: Select the type of report.
Step 2: Create a filter for the report that includes data that meets a specified criteria.
Step 3: Select the sort options from the pick list. This allows the data in the report to be arranged in order or subtotal after each group.
Step 4: This is an optional step for some reports that have additional options to be selected or set.
Step 5: Output options allows the user to select the printer, file type or to store the report for future reference.

My/All Saved Reports option allows the information from the report wizard to be saved so the report can be used again without stepping through the wizard.

Address/Mail List

  • Mail (view sample) - A report of the customers that have been added to the mail list system along with their total purchases, visit counts and last visit date. The mail list can be used to monitor a VIP club or frequent buyer program and allows customers to be sorted by purchases or visit dates. Filters can be used to identify customers who have not visited the store recently or those that purchase the greatest amount. Any mail list report that is generated can also be used to create mailing list labels.
  • Mail/Mail Labels - Birthday - This is the same as the Mail/Mail Labels with an extra option page that allows the user to specify an additional filter condition using maildufd1 or mailudfd2 by the month. Using the mailudfd1/2 as a birthday, membership expiration ect will allow the user to print a report based upon the month of these date fields.
  • Mail Labels / Mail Detail Labels (view sample) - (1x4 2 Across 20 per Sheet Avery #5161) Labels can be generated with the same filters and sorts as the reports. Use the Mail or Mail Detail report to first identify the customers desired then use the same filter for the labels.

Account Receivable

  • Accounts Receivable (view sample) - Print a listing of the accounts with their general information and setup.
  • AR Aging - Prints a listing of accounts with the 30/60/90/120+ aging balances on each account.
  • AR Balances - Prints a listing of account with the current balances.
  • Class Discounts - This is a report of class with discounts that have been assigned to accounts.
  • AR Detail - List the transactions that will be printed on the current months statement.
  • AR History - List the transaction from previous months statements.
  • AR Labels (view sample) - (1x4 2 Across 20 per Sheet Avery #5161)
  • AR Reconciliation - This list each accounts transaction activity that will be printed on the current months statement.
  • AR Reconciliation Summary - This prints a summary of the transactions for the current months activity.
  • AR Sales - Prints MTD/YTD/PY of sales, payments and finance charge totals for each account.
  • AR Statement Reconciliation - This list each accounts transaction activity that will be printed on the past months statement.
  • AR Statement Reconciliation Summary - This prints a summary of the transactions for the past months.
  • AR Statement Transaction  (view sample) - This is a report listing the detail of each transaction that is listed on the statement. Multiple transaction are listed on the page and a page break is performed between each account. The purpose of the report is include the detail of purchase with the monthly statement for the account.
  • AR Statements - Prints a statement for each account from the last AR Statement Reset.

Clerk

  • Clerk (view sample) - Prints a report with the clerk's period-to-date, month-to-date, year-to-date, and previous years sales activity. The sales activities are accumulated only for items that have commissionable checked. Users that want to pay commission on a percentage of gross profit for selected items would use this report. Use the Daily Sales item report to identify items sold by selected clerks and date filter.
  • Clerk Sales Info (view sample) - Revolving clerks use multiple registers during the day but are accountable for their cash drawer. A clerk's cash drawer can be balanced against this report for the day and the clerk selected during the optional step, even when they have been assigned to multiple registers during their shift.

Daily

  • Daily AR Reconciliation (view sample) - This report lists daily transactions that have posted to Accounts Receivable (has been added for backwards compatibility).
  • Daily Info\Sales Info (view sample) - These reports consolidate and summarize sales transactions that occurred at the POS or during a Sales Order Entry Update. These totals are generally used to balance to the individual reports from the POS and to post to bookkeeping. The Daily Info report prompts for an individual day while the Sales Info report allows the user to select a date range in the optional step.
  • Daily Items\Sales Items (view sample) - These reports are some of the most used reports as they consolidate and summarize item sales at the POS or during a Sales Order Entry Update. Print these each day to identify items that are low or out of stock by comparing the current quantity on hand to the daily, month-to-date, and year-to-date sales activity that is printed on the report. Scan the GP% column looking for low margins due to pricing errors. Low margins can also be caused by discounting that is printed on the report. Scan the quantity on hand column looking for negative quantities that may be caused by errors during an inventory count or when receiving items. The Daily Sales report prompts for an individual day while the Sales Info report allows the user to select a date filter.
  • GL Info  (view sample) - This reports is based upon the Process GL Postings that have been updated. An optional step allows the user to specify a date range
  • Productivity (view sample) - This report is generally used to determine peak periods, clerk activity, average sale, customer count and bar charts. Normally information from this report is not used for bookkeeping but rather to identify general trends. The optional step allows the user to specify a date range.
  • Sales Info Transaction (view sample) - This report allows the user to print the detail of the data that is summarized on the Sales Info report. The information includes the transaction type, total, sales tax and how the transaction was tendered.
  • Sales Item Transaction  (view sample) - This report allows the user to print items sold from transactions that occur at the point of sale or through the sales order entry function. This is the same information that is displayed in the Sale tab on the Data Item viewing grid.
  • Sales Markdown - This report is used to determine what items during a transaction were discounted. This discount could have been from a promotion, A/R or the sales clerk performed. The optional step allows the user to specify a date range.
  • Sales Serial (view sample) - This reports was added to the system for the handgun retailers. Filtering the report by class or serial type, Sorting by the legal id, entering the date range and the minimum record count in the optional step will identify each individual who has purchased the minimum or more of the serial numbered items.

Department\Class

  • Class Report - This report is used to print the general information related to the class. The portrait version will print only the general information and no sales data for the class.
  • Class Chart (view sample) - This report is used to create a bar chart to compare the sales activity of each class to visibly identify the weakest to strongest sale activity. During the optional step the user can select sales the column to compare (period-to-date, month-to-date, year-to-date or previous year), the colors for the bars, and the number of columns to print per page. The scale of the chart is determined automatically.
  • Class History - This report compares last year sales, cost and markdowns for each month with this years.
  • Class Sales (view sample) - It is suggested that this report be printed multiple times during the month. The basic purpose is so buyers, department managers or management is aware of the year-to-date sales activity for each department and class. This report also prints the GP% so that margins can be viewed and maintained. We suggest that this report be printed and saved before the End-of-Month Reset is performed. Setting the filter for only classes that a department manager or buyer is responsible for is a great use of Saved Reports.
  • Class Turnover Report (view sample) - A class turnover report has been added to the system. This reports is a based upon the average quantity on hand at the end of each month and the accumulated sales activity at cost from Jan - Dec.
  • Department Chart (view sample) - This report is used to create a bar chart to compare the sales activity of each department to visibly identify the weakest to strongest sale activity.   • Department Profit Pie Chart - The report is a pie chart based upon the profitability of each department.
  • Open To Buy - A report used with the open to buy budgets maintained in the class data viewing grid.

Vendor/Xref/Mfg

  • Freight - A reports of the Unapplied and Applied freight for each Vendor. This report is used track the freight cost and percentage to purchase so that when settings prices the user can allow for the freight charges to be reflected in there pricing.
  • Manufacturer (view sample) - This reports makes it simple to identify where and the amount of co-op dollars that are available. Co-op advertisement is not often used because it is difficult to track and time consuming to compile the needed documentation. Before determining what to advertise, generate this report  to take advantage of co-op dollars that have been accrued even if the products are purchased from distributors. The data from this report is accumulated automatically from the receive by invoice or purchase order updates.
  • Vendor (view sample) - A list of vendors that includes address, phone, contacts, email and other general information.
  • Vendor Catalog UPC - A list of UPC numbers of items that are cross-referenced to the vendor but the catalog UPC is not found in the system. This can assist the with identifying UPC that have changed.
  • Vendor Contact -  A list contacts for a vendor.
  • Vendor Cross Reference (view sample) - This report lists items that are cross referenced to a vendor. The same item may be listed on this report more than once if purchased from multiple vendors and if sorted by item number, will list each vendor along with their last cost for the item.
  • Vendor Labels - (1x4 2 Across 20 per Sheet Avery #5161)
  • Vendor Purchase (view sample) - This report will list total purchase activity for each vendor. Sorting by period-to-date, month-to-date, year-to-date, and previous year sales will rank the vendors from those you purchase from the least to the most.
  • Vendor Re-Order - This report is a suggested order using the ARS2 calculation and the min/max setting of the items. This is the same as the Process Purchase Order Interface, Vendor Reorder except the report can include multiple vendors.

Items

  • 12 Month Sales (view sample) - This report was designed for buyers who attend trade shows, buying markets and pre-season buys. Filtering or sorting this report by manufacturer allows a whole line of products to be purchased. With the sales activity, markdowns and end-of-month quantities on hand by month, the buyer can easily determine if a show buy has merit, or if there is dating to consider the product can be sold before the due dates. The optional report step allows rows to be selected by item, making the report easier to read.
  • Item ARS Web Store
  • Item Catalog (view landscape sample) - The two versions of this report (portrait, landscape) have two different purposes. The portrait version is a simple listing of products with descriptions and retail prices that in most cases could be provided to consumers. The landscape version is used to find how items are setup and lists all price levels.
  • Item Catalog Thumbnails (view sample) - This report will print the image linked to the item on the page with the item. A default graphic can be specified if no image is linked to the item. This was added to the system so catalogs of certain products could be created so that they could be distributed to select customers or use as a sales aid.
  • Item Count Work Sheet (view sample) -This report was designed so that a multiple groups of items with a page break between groups, can be printed without creating the Group in the Physical Count function first. The format of the report is the same as the Physical Count Worksheet
  • Item Kit - This report will print items that are part of a kit. One purpose of this report is to list the current cost of the items that make up the kit along with the price1 and GP%.
  • Item Markdown (view sample) - This reports is used to identify items that have had markdowns. These markdowns could be from promotions, permanent discounts, or discounts applied at the register.
  • Item PTD/MTD/YTD/PY (view sample) - These report formats are similar except the columns corresponding sale with the report name. Previous Year (PY) allows a report that was available on last day of the fiscal year  to be reported till the next fiscal year end reset is performed. 
  • Item Reorder - Compatible with Version 4.
  • Item to Item Received - This report prints from the receiving history file of items to item transfers.
  • Item Variance Report (view sample) - This report will print the variances and dates of the items that were last counted using the Physical Count function in the Process menu options.
  • Physical Count History
  • Promotion (Non-Active)(view sample) - Non-active promotions may be promotions that have been created but the start date is in the future or the ending date has past. This report allows for the promotion to be reviewed for discount accuracy or for sales productivity.
  • Quantity on Hand (view sample) - This report reflects the quantity on hand in number of units and the dollar value for items. A quick look of the total value of inventory currently on hand can be done with this report by not setting a filter, selecting item code as the sort, and checking the totals only on the output option.
  • Sales Analysis (view sample) -   There is an old saying that 80% of the profit comes from 20% of the items. Using this report to identify the top movers will allow the buyer to concentrate on making better decisions. Adding a few GP% to these products by shopping for the best price or increasing the retail price will have a direct impact of the stores profitability. By identifying the slow moving products, you can reduce the dollars in inventory which will increase turns and minimize losses due to excess inventory. This report is normally sorted by class so that similar products are ranked against each other. Storing the previous year's data  by item allows reports to be generated anytime during the following year, eliminating the need to run this report before the YTD Reset.  The optional report step allows the user to select the sales columns, ranking by profit or sales, and the percentages to be used.
  • Sales Matrix (view sample) -   This report is created from items that are assigned to a size grid matrix. An unlimited number of items can be assigned to the matrix, the data is consolidated when the report print. Buyers use this report to assist them with ordering products like soft goods that are only purchased for one season to determine the best selling sizes or colors of comparable products. The optional report step allows the user to select the Sales Grid Matrix, sales activity, and the dimensions of the grid. Choosing not to Report 0's will omit an entire row on the report if it consists of zero values.  Choosing not to Print 0's will leave an area blank instead of printing "0.00" to make the report more readable.
  • Split Quantity - A report of the items that are part of the split quantity pricing.

Serial

  • Bound Book Posting
  • Rental - A report of log numbers of the serial item that have been set to a status of rental.
  • Serial Acquisition Disposition (view sample) - This report is a requirement for ATF approval of using an electronic version of our bound book system. We have multiple versions of this report. The viewing sample is the default version shipped with the system.
  • Serial Item QoH - This is a report compares the Quantity on Hand for each serial item and compares with the number of serial items in stock and print the item that have a variance.
  • Serial Sold (view sample) - This is a report of each serial number that has been sold listing the individual that has purchased the item. Once the report has been created with the desired information, the same filter could be used to print the Serial Sold Labels. This is useful for notifying customers when tune-ups are due or for a recall notice.

  • Serial Stock (view sample) - This report lists all the serial numbers of items that have not been sold. Use this report to verify if the correct units are in stock along with the total value.

  • Gift (view sample) - This report is a listing of gift certificates, gift cards, and store credits.
  • Gift Certificate Redeemed - A listing of gift certificates redeemed based upon on transactions
  • Gift Certificate Sold - A listing of gift certificates soldbased upon on transactions

Layaway

  • Layaway (view sample) - This report is a listing of current layaways with there balances
  • Layaway Open Item (view sample) - This report is a listing items that are currently on layaways
  • Layaway Reminder - The reminder noticed is designed to fit the standard window envelope. The Filter function can be used to select only those layaways that are considered past due.

Purchasing

  • AP Open - A report of AP postings that have not been updated. This report is useful for accounting at the end-of-month to determine the amount of inventory that has been received that an invoice has not yet been posted a accounting application. An adjustment should be made in the value of inventory of the accounting application.
  • AP Open Item - This report print a list of the item in the AP Posting that have not been updated.
  • PO Open Items - A report of item that are currently on existing purchase orders.
  • PO Open Orders - This report is a list of current purchase orders that have not yet been received.
  • Receipt History - This report allows the user print items that have been received through the receive by invoice or purchase orders.
  • Special Order History - This report will print special order that have been received through the purchase order system. It should be used to identify items that are frequently being special ordered to determine if the item should be in stock at all times.
  • Special Order Pending - A report of the special orders that are currently on existing Purchase Orders.

Order Entry

  • Course List - A listing of the course that have been added to the system.
  • RV Confirmation
  • RV Open Items - This report contains the item that are on current reservations
  • RV Open Order - This is a report of the current reservation.
  • SO Open items - A report of the items that exist on current Sales Orders.
  • SO Open Orders - This report is a listing of the Sales Orders currently in the system.
  • SO Open Serial Item (view sample)- This report is a list of the Log and Serial numbers that are committed on sales orders.
  • Student List - A report of the students that have purchased a course.
  • WO Open Items - A report of the items that have been used for the repair of a work order. This is NOT the item being repaired
  • WO Open Orders - A report of the customer and the item in for service on the current Work Orders.

Tax

  • Monthly Tax Totals (view sample) - During the month as transactions occur sales tax information is consolidated into this simple report. The demo data listed on the sample report is from a system configured with multiple municipalities, each requiring separate sales tax information.

GL

  • GL (view sample) - Many processes and sale transactions will post to the General Ledger totals. This report will print the period-to-date, month-to-date and year-to-date activity for each General Ledger Account number that has been linked within the system.
  • GL Accounts (view sample) - A chart of accounts.
  • GL Asset (view sample) - A reports of the values from the asset accounts
  • GL Detail (view sample) - This report prints daily activity by General Ledger Account numbers that have been created and linked within the system. Posting information from the system to an accounting package on a daily basis can be performed with this report without the need to perform an additional reset for a posting period.

Event Logs

  • Audit  - The Audit log tracks changes made to data by users who have modify rights for the data. Not all  fields or changes are tacked.
  • Audit Item (view sample) - This report is similar to the Audit report except that it only contains changes made to the item data.
  • Event Log - This is a report of the information stored in the General tab of the Event Log. Events would include resets, updates of orders, fom startups and shutdowns and other process.
